Extended Access for Adjunct Faculty

Overview

This article provides details on the new extended (365 day) access for adjunct and instructional faculty.

Troubleshooting/Resolution

Adjunct Extended Access of 365-day is live now!

Any adjunct employee (account 114500) and instructional faculty (account 114531) hires with an active job row will receive 365 day access from their most recent effective date. Any adjunct hire who had a termination date within the last 130 days will receive 365 day access from their last termination date.

Adjunct Extended Access will continue if:

  • The adjunct employee is rehired within the 365 day period, or
  • A new job row is created at rehire. The 365 day access will then reset, beginning on the new effective date.

Adjunct Extended Access will terminate if:

  • The hiring department knows an adjunct will not be rehired and submits a termination ePAR and TeamDynamix request:
    • To the right of the page, click Request eID Activation Help, OR
    • From the Service Catalog, go to:
      • JMU eID and Passwords
      • Identity and Access Management 
      • eID Activation and Management
  • The Request should include the following:
    • The Adjunct's name
    • Their eID,
    • Employee ID#
    • Date that access should end (Note that a 30-day grace period will apply before deprovisioning).
  • A TeamDynamix ticket and Termination ePAR must be submitted if the hiring department does not plan to rehire the adjunct.
  • If the adjunct employee is not rehired within the 365 day period.
    • Access will be automatically deprovisioned with a 30 day grace period.
  • Immediate/emergency deprovisioning initiated by HR will remove all access immediately with no grace period.

What access is included in Adjunct Extended Access? 

Extended access is distinct and separate from active employee access.

  • Access to the following IT services will continue for 365 days:
    • Email
    • Microsoft A5 license
    • Active eID
    • MyMadison self service
    • Instructor/Advisor access
    • Emergency Notification
    • Canvas
    • Systems that use AD authentication (wireless, n drive)
  • Parking
    • As long as adjunct faculty receive a paycheck, parking fees are assessed and deducted from their paycheck.
    • Parking permits for adjunct faculty will be valid for the same 365 days of access.
