Here is a quick overview of how to export surveys from Qualtrics and import to QuestionPro (must be completed by May 31, 2022):
Note: Logic flow and with whom files are shared does not export. These will have to be manually added in QuestionPro later
To Export:
- Open a web browser to Qualtrics (jmu.qualtrics.com)
- In Qualtrics, click All Projects
- Click Last Modified to sort your files by date order of last modified/updated to determine which files need to be moved to QuestionPro and which can be deleted.
- Review your surveys and understand the answers to these questions:
- Is it an active survey? Do I need to consider a date to end or start a new survey?
- Who else shares the survey? Do I need to contact them?
- Has the survey ended? Do I need to migrate the survey(s) or simply create a data report export out of Qualtrics?
- Make a list of surveys you need to migrate and communicate with shared owners or potential participants about the migration.
- Create and share a migration calendar with colleagues.
- Note: The following question types will not migrate.
- Highlight (Specialty Question)
- Drill Down (Speciality Question)
- Timing (Advanced)
- Meta Info Question (Advanced)
- Screen Capture (Advanced)
- Side-by-Side Matrix
- HeatMap
- Hotspot
- Card Sorting
- Click to open an existing Qualtrics survey to migrate
- To ensure sequential numbering in the exported file, click Survey, Tools, Auto-number Questions...
- To export, click Survey, Tools, Import/Export, Export Survey
- Click Save File, Ok
To import a Qualtrics file in to QuestionPro:
- Open a web browser to QuestionPro.jmu.edu
- Click +New Survey Button
- Type a Survey Name and click Enter
- Click Integration from the menu bar
- Scroll to bottom and click Qualtrics Data Import....
- under Drag your file here, either drag a file to that location or click Browse
- Find and select the Qualtrics file (.qsf) to import then click Open
- You will see the Upload Converting status bar then the file will appear in the Imported Survey List
- Note: When the file conversion is complete, you will receive an email from questionpro.com entitled QSF file converted to new survey for xxxxxxx@jmu.edu This can be handy when it is a rather large file to convert.
- After the survey file as been imported, scroll down to the file in your Imported Survey List and click Import Data via CSV (comma separated value file)
- Navigate to this .csv file and open
- To ensure data matches, click Analytics, Responses, and Display Questions (check t the correct number of responses listed in the upper right-hand corner to ensure that it matches the Qualtrics responses)
- Manually add any logic statements that existed in original Qualtric file
- Share the survey file as needed or originally set in Qualtric, click Surveys, Add Folder (note: there are other ways to share surveys)
- Enter Name for Create new Folder?
- Click Share Folder, type in user's eID
- Click Edit (pencil icon) to set privileges (Can Edit, Can Copy, Can Report)
- Click Save Changes (note everything in this folder is shared with that user!!!)
